Monthly Offshore Staffing Pricing

Your monthly subscription covers the agreed staffing service. The price depends on the role, experience and working arrangement, with generally lower rates for longer initial commitments. Your proposal confirms the fee and inclusions.

Understand ongoing billing

What does the monthly fee include?

The monthly fee covers the agreed staffing service, including recruitment, payroll, HR and ongoing people support. A device we purchase on your behalf can be a separate one-off charge and belongs to your business. You provide business software; we supply our required device and security tools. Applicable taxes are additional. A further recruitment charge may apply if an undisclosed start-date delay causes you to lose the candidate. Your proposal confirms any additional arrangements and costs.

Currency and Taxes

We can invoice you in Australian dollars (AUD), US dollars (USD) or New Zealand dollars (NZD). The website’s instant price estimates are shown in AUD; confirm your invoice currency in the proposal.

Applicable taxes are charged in addition to our rates. For example, Australian GST is added where required.

When do billing and payments start?

Your staffing fees start on the team member’s first day.

Payment in advance is our default. After we have worked together for more than 12 months, payment in arrears may be arranged.

We do not require a deposit under our standard advance-payment arrangement.

How do monthly hours affect the fee?

The same monthly fee applies when a full-time team member works between 160 and 180 hours. Below 160 hours, the adjusted charge is your monthly fee multiplied by actual hours worked, divided by 160. You receive a credit for the difference. Work above 180 hours needs your approval before it takes place.

For a full-time month below 160 hours, your credit is the normal monthly fee minus the adjusted charge. For example, 140 hours means a charge of 140 ÷ 160, or 87.5% of the monthly fee, and a credit of 12.5%. This example illustrates the calculation rather than a quoted price.

Leave affects billing through the total hours worked that month. Under the full-time arrangement, a credit applies below 160 hours. A day of leave creates no separate deduction when the monthly total remains between 160 and 180 hours.

Part-Time Roles

An ongoing arrangement below 160 hours a month is a part-time role, with its own agreed price. These roles can take more effort to fill because, in our experience, many candidates prefer full-time work. Part-time pricing is separate from the credit calculation for a full-time role that works fewer hours in a particular month.

Requesting Additional Hours

Request additional hours through the platform before the work takes place. We check your team member’s availability and proceed once all parties approve. Additional or overnight work may attract a higher rate, with the person receiving the same percentage uplift in pay. Agree the rate with us in advance.

How long is the commitment?

You can start month to month or choose an initial minimum term, such as three, six, nine or twelve months. Longer commitments generally receive lower rates. Once the initial term has elapsed, 30 days’ notice applies; otherwise the arrangement continues month to month. Your proposal records the term and notice arrangements.

Starting with One Person

You can start with one person. There’s no minimum team size, business size or monthly spend beyond the price agreed for your role.

Pay Rises

An approved pay rise increases your subscription by the same percentage. For example, a 5% increase in the team member’s pay means a 5% subscription increase. We can arrange a pay rise you request during the contract term.

Changes to Pricing and Payment Schedules

We generally consider changes to the fee or payment schedule at renewal, after the initial term has elapsed. A pay rise you request for your team member is an exception we can arrange during the term.

Are team members contractors or employees?

We engage personnel through our own Philippine entity, with contractor arrangements as the default. Employee arrangements are available by request where appropriate, with additional rates and terms reflecting employment conditions, including the considerations that apply when an engagement ends. We discuss the arrangement with you before the role proceeds.

What does your business provide?

You handle role onboarding, system access, process documentation and training. We provide onboarding facilities through our platform and our required security policies. Your business prepares and delivers its own orientation and onboarding materials.

You provide and manage licences for the day-to-day business tools your team member needs. We supply our required device and security tools, including Intune. Include business software costs in your own budget.

Prepare Your Quote

  • Describe the responsibilities, experience, systems and working hours.
  • Choose the initial commitment and discuss the device arrangement.
  • Confirm the currency, billing schedule and any additional arrangements in your proposal.

Costs When Your Team Changes

How are replacement and handover costs handled?

A replacement is priced at the new person’s rate. Handover costs are generally shared, depending on the circumstances. We agree the overlap and cost allocation with you before the transition; there is no fixed split or automatic free replacement.

Can we engage a Covela team member directly later?

Direct engagement is generally restricted, but we can arrange a transition for a fee. Contact us before proceeding so we can confirm the conditions and fee for the move.

Can we add roles or reduce the team later?

You can add roles as your team grows, allowing time to recruit suitable people. To reduce the team, the usual 30-day notice period applies after the initial contractual term has elapsed. Discuss the changes with us so we can coordinate the transition.
