Prepare for Onboarding and Staff Handovers

A handover gives the next person the context to continue the work. Your business prepares priorities, process knowledge and system access; Covela coordinates engagement and recruitment matters. Plan the handover when someone joins, takes leave or moves out of a role.

Before a New Person Starts

Name the manager who will introduce the work and answer questions. Prepare the tools, access and examples the person needs for their first tasks. Covela provides onboarding facilities through its platform and its required security policies. Your business handles orientation, process documentation and training.

  • Agree the first week’s priorities and introductions
  • Prepare role instructions and examples of completed work
  • Confirm access owners and the decisions requiring approval

What belongs in a handover?

Record current work, deadlines, open questions and the next action for each item. Link to the relevant documents in your approved systems and identify the person who can resolve an exception. Give the receiving person time to walk through the work and ask questions.

Check That the Handover Worked

Ask the receiving person to explain the next steps and try a representative task with their manager available. Update the instructions where questions reveal missing context. Keep a named owner for unresolved items so they remain visible after the handover conversation.

Onboarding Responsibilities

You handle role onboarding, system access, process documentation and training. We provide onboarding facilities through our platform and our required security policies. Your business prepares and delivers its own orientation and onboarding materials.

Resignations

Team members are generally required to give four weeks’ notice when resigning. We follow the handover principles agreed with you and can seek a replacement during that period if you want to refill the role. We can’t guarantee a replacement will start within the notice period.

Replacement Costs

A replacement is priced at the new person’s rate. Handover costs are generally shared, depending on the circumstances. We agree the overlap and cost allocation with you before the transition; there is no fixed split or automatic free replacement.

Removing Access

We follow your instructions to remove access in Intune and on devices we manage. We aim to act the same day, ideally by close of business on the person’s last day. This is an internal target, not a contractual guarantee. You remove access to your own systems.
